For Operations Leaders: Mid-Market Australia

Claude AI for Australian COOs and Operations Leaders

You own the SOPs, the vendor relationships, the incident response, the QBRs, and the answer to "how do we do that here?". Most of that is structured writing. Claude is the strongest general-purpose model for structured writing. Together those two facts produce a 10 to 18 hour weekly time gain.

We have rolled out Claude for COOs, Operations Directors, and GMs of Operations across Australian services, multi-site retail, mid-market manufacturing, and professional firms with 20 to 200 staff. Our process audit identifies where Claude moves the needle in your operation in week one.

Why Claude Specifically for Operations

For ops work, four properties of Claude separate it from generic AI assistants.

1M tokens fits a 200 page operations manual

Claude Opus 4.7 takes up to 1 million tokens (roughly 750,000 words) in one prompt. Your full operations manual, the last 12 months of incident reports, vendor MSAs, and the org chart can all sit in one conversation. Cross-references hold across hundreds of pages.

Excellent at structured operational writing

SOPs, checklists, RACI matrices, RAG-status updates, runbooks, post-incident reports. Claude is the strongest general-purpose model for the long-form structured writing that ops actually runs on. It holds the format you ask for, every time.

Projects: tribal knowledge in one queryable place

Projects let you pin your SOPs, vendor profiles, KPIs, escalation patterns, incident history, and org chart in one shared space. Anyone on your team can ask "what is our standard onboarding for a new branch manager?" and get the right answer with citations.

Conservative posture: will not invent compliance rules

Constitutional AI training makes Claude more likely to say "you should verify the current Food Standards Code on this point" than fabricate a confident wrong answer. For operations work where a wrong rule has real consequences, that posture matters.

Process Maturity Audit: Eight Core Ops Processes

Composite scorecard from typical 80-person businesses we have audited. Your numbers will vary, but the leverage pattern is consistent.

ProcessCurrent MaturityClaude LeverageTime RecoverableNotes
Onboarding new hires 2/5HIGH4 to 6 hrs/wkMost ops teams have inconsistent onboarding. Claude builds role-specific 30/60/90 day plans from your existing scattered docs.
Vendor reviews 2/5HIGH3 to 5 hrs/wkQuarterly reviews often skipped or rushed. Claude reads the contract, the QBR notes, and recent incidents, drafts the review pack.
Incident response runbooks 3/5HIGH2 to 4 hrs/wkPost-incident write-ups are usually thin. Claude turns rough notes into a proper RCA with timeline, contributing factors, action items.
Internal escalation handling 2/5MED3 to 5 hrs/wkDrafting escalation responses to internal stakeholders is repetitive work. Claude drafts in your voice with the right level of empathy and firmness.
Quarterly business reviews 3/5HIGH6 to 10 hrs/quarterQBR pack assembly is days of work. Claude pulls the threads together once you load the data and prior pack.
SOP version control 1/5HIGH4 to 8 hrs/wkMost SOP libraries are stale and duplicated. Claude rewrites in standard format, flags conflicting versions, surfaces gaps.
Service-level reporting 3/5MED2 to 3 hrs/wkOnce your SLA data is loaded into the Project, Claude drafts the monthly narrative against the numbers. Faster, more thoughtful.
New site or branch playbooks 2/5HIGHDays per launchOpening a new site is a project plan in itself. Claude builds the 90 day launch playbook from your prior site openings.

Maturity scale: 1 (ad hoc), 2 (defined but inconsistent), 3 (consistent), 4 (measured), 5 (continuously improved).

Risk and Governance Considerations

Five areas any sensible ops AI policy must address. We draft the 1-page ops policy as part of every engagement.

SOPs are still owned by humans

Claude drafts SOPs faster, but the responsible manager must read, accept, and sign off. Build that step into your SOP review workflow. Claude is the drafter, the manager is the author of record.

Vendor data must be reviewed before paste

Vendor contracts often contain confidentiality clauses that restrict where the document can be processed. Use Claude Team or Enterprise (no training on your data) and review your vendor MSAs for any specific data-handling restrictions before loading.

Regulated industries need extra checks

Food, healthcare, energy, transport, financial services: SOPs that touch regulated processes must be cross-checked against the current standard. Claude can summarise standards, but the COO is responsible for verifying current compliance.

Change management still matters

A new SOP that nobody adopts is worse than the old one. Claude lets you produce SOPs faster, but the rollout (training, communication, monitoring) is the same human work as before. Plan for that.

Version control for SOPs

A Claude-drafted SOP is a draft until it is signed off and versioned in your document management system. Maintain a clean version history. Claude can help you write the change-log entry.

How Yes AI Helps the COO

Four pillars of every ops engagement.

Process audit (half-day workshop)

We sit with you for a half day to map the current maturity of your top 10 to 15 operational processes. The output is a process maturity scorecard and a ranked list of where Claude will move the needle fastest in the first 90 days.

SOP migration sprint (week one)

In the first week we work through your top 20 SOPs together. Claude rewrites each in your standard format. You review and sign off. By end of week one you have a refreshed core SOP library and the rhythm to keep going.

Ops Project setup

We help you load and structure your vendor profiles, supplier contracts, KPI definitions, escalation patterns, incident history, and org chart into a Claude Project. From day one, every conversation starts with the right context.

Train your direct reports

A 90 minute training session for your ops managers and team leaders. Tailored to operations workflows. Recorded so new starters and absent team members can self-onboard. Optional follow-up coaching for individuals.

Our 5-Step Ops Rollout

Most COOs are running independently within 30 days. SOP library refreshed and team trained within 90.

Process audit and scope

Half-day workshop to score the maturity and Claude-leverage of your top 10 to 15 processes. Output: prioritised rollout plan and confirmed engagement scope (typically STANDARD or STRATEGIC).

Plan procurement and Project setup

Set up Claude Team or Enterprise. Configure SSO if needed. Build the Ops Project with vendor profiles, KPI definitions, SOP standards, and escalation patterns pre-loaded.

SOP migration sprint

One week of structured working sessions. We rewrite your top 20 SOPs in standard format, version them, and load them back into the Project as the new source of truth.

Embed the monthly cycle

60 days of light coaching across the four-week ops cycle: planning, review, vendor, people. We sit with you through one full cycle to embed the prompts and templates.

Train direct reports and quarterly review

A 90 minute training for your ops managers. Then every 90 days a one hour COO check-in to refine prompts, add use cases, brief on new Claude features.
