Test the assumptions behind an AI investment
Estimate time released, then check whether it can reduce actual spending. Include setup and ongoing costs before comparing the financial case.
Defaults are illustrative assumptions, not measured results or a Yes AI quote. Use a pilot to measure time reduction after human review and exception handling. Count each task once, including calls only if they are part of these hours.
Leave reduced spending at 0% if released time is reassigned while wages stay the same. Only include cash you expect to stop spending, such as measured overtime or contractor costs. Revenue opportunities are excluded.

Annual released hours = staff × weekly hours per person × 52 × net time reduction. Capacity value = released hours × hourly cost. Reduced spending = capacity value × your cash conversion percentage.
First-year net cash = reduced spending − 12 monthly costs − setup. ROI = net cash ÷ first-year cost. Setup payback = setup ÷ monthly net cash benefit; it is not reached when recurring costs equal or exceed reduced spending. These calculations assume the benefit starts immediately and stays constant.
