How a SharePoint Premium Project Runs
Content intelligence works when it is pointed at a specific, painful document problem. It disappoints when it is switched on across everything at once. Here is the sequence we use, and why each step exists.
Find out what you are actually storing
Most businesses genuinely do not know. We look at where documents live, how much is duplicated across personal drives and old file servers, what has not been opened in five years, and which libraries hold the material people search for every day. This is unglamorous and it is the step that determines whether everything after it works.
Agree the metadata that matters
Automatic classification only helps if the labels mean something to your business. For a builder that might be project, site, trade and document type. For a practice it might be client, matter and year. We keep this deliberately short, because a taxonomy with thirty fields is one nobody maintains and every one of them ends up blank.
Train the document models
We teach the content understanding models using your own documents, not generic samples. Contracts, invoices, purchase orders, safety records, whatever you handle in volume. The model learns to recognise the document type and pull out the fields you care about, such as the counterparty, the value, the expiry date or the site reference.
Test the extraction honestly
We run the models against a held-back set of your real documents and report accuracy plainly, including where they fail. Some document types classify very reliably; badly scanned handwritten forms do not. Knowing which is which up front lets you decide where to trust automation and where to keep a person checking.
Set retention, governance and permissions
Once documents are classified, retention and access rules can follow automatically rather than depending on someone filing correctly. Records that must be kept for a statutory period get kept. Realistic Timelines
Discovery and agreeing the metadata takes one to two weeks. It goes faster in businesses that already have a shared vocabulary for their work and slower where every department names the same thing differently, which is worth resolving anyway.
Training and testing a model on a single document type typically takes two to three weeks, assuming you can supply a reasonable set of real examples. Poor quality scans are the most common reason this takes longer than expected.
A first document type is commonly in production within six to eight weeks. Migration from a legacy file server is a separate track and depends far more on how many decisions have to be made about old content than on the copying itself. We would rather run that in stages than promise a single cut-over date that nobody can hold.

How is this different from ordinary SharePoint?
Standard SharePoint stores and shares documents well. The premium capability adds content understanding: models that recognise what a document is and extract the fields you care about, along with text recognition for scans and images and automated content assembly. If your problem is storage, standard SharePoint is likely enough. If your problem is that nobody can find or track what is in the storage, this is the layer that helps.
What does it cost?
Microsoft bills the platform, and the content processing is largely consumption based, so the amount depends on the volume of documents you put through it. That is genuinely a good thing for a smaller business because you can start narrow. We size the expected volume with you and scope against current Microsoft pricing rather than quoting a number here that would date. Our implementation work is scoped per project.
How accurate is the automatic classification?
It depends heavily on the document type and the quality of the source. Consistent, machine-generated documents such as invoices and purchase orders classify very reliably. Poorly scanned or handwritten forms are much less dependable. We test against your own documents before you commit and report the results plainly, including the categories where a human should stay in the loop.
Do we have to clean up our files first?
Not entirely, and waiting until everything is tidy is how these projects never start. We usually pick one high-value document type, get that working properly, and let the visible result build the case for the wider clean-up. What we do insist on early is fixing permissions, because classifying content that is overshared just makes it easier to find.
Can it handle scanned and handwritten documents?
Scanned documents and images can be read through text recognition, and that works well when the scan is clean. Handwriting is far less reliable. If a large part of your paperwork is handwritten, the more useful conversation is usually about replacing the paper form with a mobile form at the point of work.
How long does a project take?
A focused project on one document type is commonly six to eight weeks from discovery to production, including model training and testing.
