Unleashed Integration and Automation (Stop Re-Keying, Start Syncing)
Unleashed is a genuinely good inventory system. The problem is rarely Unleashed itself, it is everything around it: the online orders re-typed by hand, the invoices keyed twice into the accounting system, the stock counts that live in a spreadsheet, and the customer details that only ever get updated in one place. Every one of those gaps is admin time you pay for and an error waiting to happen.
We build the two-way integration between Unleashed and the rest of your stack (accounting, CRM, email, ecommerce, spreadsheets and rosters) and automate the workflows around it, so a record entered once shows up everywhere it should, stock and orders stay in step, and nothing quietly falls through the cracks.
Realistic ROI
Why Automate Around Unleashed With Yes AI
Anyone can plug two systems together. Making Unleashed the reliable centre of your stack takes discovery, tuning and ownership. Here is what sets our builds apart.
We map your real process before we build
We do not arrive with a template. We sit with your team and follow how an order, a product and an invoice actually move through Unleashed and everything around it, so the integration fits how your business genuinely runs, not how a vendor assumes it should. Deep discovery is where a build that sticks separates from one that quietly breaks.
Tuned to how your business runs
Two businesses on Unleashed rarely work the same way. We tune every sync rule, automated document and alert to your channels, your suppliers, your GST setup and your team, so the automation reflects your reality rather than a one-size-fits-all connector you have to bend your process around.
Secure and Australian
Your data moves over standard secure connections between systems you already control, aligned with the Privacy Act 1988 and the Australian Privacy Principles. You deal with an Australian-based team that understands GST, BAS and how local SMEs actually operate, not an offshore ticket queue.
We own the whole build
One team maps, designs, builds, tests and supports the integration end to end. There is no handing you off to a separate implementer, and no leaving you to wire the last mile yourself. If something needs to change later, the same people who built it make the change.
How the Unleashed Integration and Automation Works
Six things we wire up so Unleashed becomes the connected centre of your business instead of one more screen to re-key into.
Two-way sync of the right records
Products, stock on hand, customers, suppliers, sales orders, purchase orders and invoices sync both ways between Unleashed and the systems that need them. Change a record in one place and it updates everywhere, so no two systems disagree about the same order.
No more double entry
An online order, a new product or a supplier detail is entered once and flows into Unleashed and back out to accounting, CRM and your store automatically. Your team stops re-typing the same information into three different screens.
Automated documents and notifications
Order confirmations, dispatch notices, backorder emails, low-stock alerts and purchase order approvals fire automatically off Unleashed events, in your wording, to the right person, without anyone having to remember to send them.
Live dashboards
Stock position, sales by product and customer, margin and reorder status are pulled from Unleashed and your accounting system into dashboards that refresh on their own, so the numbers are ready before the meeting starts.
Exception alerts
Negative stock, a sync that failed, a price mismatch between the store and Unleashed, or an order stuck without dispatch is flagged to the right person straight away, rather than being discovered a week later by an unhappy customer.
Scheduled background jobs
Nightly reconciliation, reorder-point checks, stocktake preparation and end-of-month and BAS exports run on a schedule in the background, so routine admin is already done before your team logs in for the day.
What the Integration and Automation Handles
| Task | Traditional | With Yes AI | Notes |
|---|---|---|---|
| Online store order lands (Shopify, WooCommerce, Amazon) | Re-typed into Unleashed by hand, hours of admin | Flows into Unleashed automatically, stock adjusts | Two-way link so dispatch and tracking flow back to the customer. |
| A product hits its reorder point | Noticed too late, stockout or a panic order | Alert raised and a draft purchase order prepared | Reorder rules you confirm, using Unleashed supplier and cost data. |
| New product or a price change | Entered separately in Unleashed, the store and accounting | Entered once and synced to every system | One source of truth for SKUs, prices and descriptions. |
| Sales invoice raised in Unleashed | Re-keyed into the accounting system, GST redone | Flows to Xero or MYOB with the right GST codes | Finance stops reconciling two versions of the same invoice. |
| Customer or supplier detail changes | Updated in one system, stale in the others | Updated once and kept consistent across systems | CRM, accounting and Unleashed all show the same details. |
| End-of-month stock and sales report | Exported to a spreadsheet and reformatted by hand | Dashboard already current, export ready | Stock valuation, sales and margin refreshed automatically. |
How We Keep the Integration Safe and Honest
The Unleashed API has rate limits
Like any hosted system, the Unleashed API caps how many calls it accepts in a window. We design the integration to pace and batch its calls and to sync on sensible triggers rather than hammering the API, so it stays well inside the limits and never disrupts your day-to-day use of Unleashed.
Field mapping and data hygiene come first
An integration is only as good as the data underneath it. Mismatched SKUs, blank fields and inconsistent customer names break syncs quietly. We map every field between systems up front and clean or standardise the data before go-live, so records match instead of drifting apart over time.
One source of truth to avoid sync loops
When two systems both think they own a field, they can fight and overwrite each other in a loop. At design time we agree which system owns which record: stock in Unleashed, the money in accounting, the relationship in the CRM. Every sync then reinforces one truth rather than starting a tug of war.
Privacy Act 1988 and the Australian Privacy Principles
Customer and supplier records are personal information. Data moves between systems you control over standard secure connections, we document exactly which fields sync, and we keep the engagement Australian-based and aligned with the Australian Privacy Principles. Nothing personal goes anywhere it does not need to.
Sandbox testing and a parallel run before cutover
We build and test against a sandbox or a safe copy of your data first, then run the new automation in parallel with your current process for a short period. You get to watch it produce the right result on real data before you rely on it, so cutover is calm rather than a leap of faith.
Change management and staff training
The best integration fails if the team keeps doing the old manual steps out of habit. We document each automated workflow in plain English, train the people who touch it, and agree who owns it, so the new way sticks and everyone knows what the system does and does not do.
How Yes AI Delivers It
Discovery and integration plan
We sit with your team and map how work actually flows through Unleashed today: where data is re-keyed, which systems disagree, and what falls through the cracks. You get a prioritised plan and a fixed-scope spec before any build, highest-pain sync first.
Build the sync and automation
We build the two-way integration between Unleashed and your accounting, CRM, ecommerce, email and spreadsheets, and automate the document, notification and background workflows around it. Everything is built and tested against a sandbox or safe copy first.
Pilot and parallel run
We run the new automation alongside your current process on real data, so sync rules and edge cases surface and get handled before you depend on it. Cutover happens only once you have seen it produce the right result for yourself.
Support and evolution
After go-live we monitor the integration, handle the exceptions, and adjust as your business changes: a new sales channel, a new report, a new rule. Most changes are a config update, and your team keeps full visibility of every workflow.
Our 5-Step Unleashed Rollout
Most Unleashed integration and automation projects go live in 2 to 6 weeks, phased so the highest-pain sync lands first and nothing goes live until it has been proven on real data.
Discovery and mapping (week 1)
Map how data flows through Unleashed today, where it is re-keyed and which systems disagree. Agree the fields, events and workflows to connect, and which system owns what.
Design the integration (week 1 to 2)
Design the two-way sync and the automated workflows on paper first: mappings, triggers, ownership rules, and the documents and alerts to automate. You sign off before any build starts.
Build in a sandbox (weeks 2 to 4)
Build and connect against a sandbox or a safe copy of your data, so nothing in your live Unleashed or accounting system is touched while we get every rule right.
Test and parallel run (weeks 4 to 5)
Test every workflow against real scenarios, then run the automation in parallel with your current process. Edge cases surface and get handled before cutover.
Go live and monitor
Switch on the live integration. We monitor the syncs, handle exceptions, and evolve the automation as your channels, reports and rules change. Most adjustments are a config change.
