What an Integration Build Actually Involves
Connecting two systems sounds like a technical job and is mostly a decision-making job. The code is rarely the hard part. The hard part is agreeing what the data means, which system is allowed to change what, and how records in one system are matched to records in the other. Here is the sequence we work through, and roughly where each part sits.
Work out what the systems really hold
Week 1Every integration project starts with a surprise, and it is always in the data. The customer list has the same business three times under slightly different names. A field labelled "delivery date" is used by two teams to mean two different things. A dropdown has free text in it because someone needed an option that did not exist. We go through the records with the people who maintain them and find these before they become a live sync problem.
Decide which system owns which field
Week 1 to 2The single most important decision in any integration is which system is allowed to change what. When two systems can both edit the same field, you get updates bouncing back and forth or quietly overwriting each other. We agree ownership field by field with you: your accounting package owns the money, your job system owns the schedule, your store owns stock, and the direction of every sync follows from that.
Choose the key that matches records
Week 2Two systems only stay in sync if they can agree which record is which. Sometimes that is a customer number, sometimes an email address, sometimes a SKU, and sometimes there is nothing reliable and we have to create one. Getting this wrong is the difference between a sync that runs quietly for years and one that creates duplicates every month.
Build against copied data
Week 2 to 4We build and test against sandbox environments and copied records, never your live systems. That is also where we test the ugly cases deliberately: what happens when one system is unavailable, when a record is deleted at one end, when a field arrives with an unexpected value, and when a batch run collides with a rate limit.
Parallel run before you depend on it
1 to 2 weeksThe new integration runs alongside your existing process so you can compare the results on real work before you trust it. If the numbers do not match, we would much rather find that out here than in your month end.
Cut over and monitor

The consulting and scoping engagement that produces that fixed price is priced clearly: $1,000 for a focused piece of work, $3,000 for a standard engagement and $10,000 for a broader strategic engagement. You finish it with a written scope and a build price, and you are free to take that scope to another builder.
Initial consultations are free for businesses with 20 or more full-time staff (smaller teams pay $200 including GST). How Long It Takes
A straightforward two-system integration, where both ends have documented interfaces and the data is in reasonable shape, typically goes live within two to six weeks. That range includes the parallel run, not just the day the build is finished.
Projects spanning several systems, or involving software with no modern interface, run longer. The most common cause of a stretched timeline is data quality, which is exactly why we look at the records in week one instead of discovering the problem late.

Frequently Asked Questions
What if our system does not have an API?
There is usually still a path, and older Australian business software is exactly where we spend a lot of our time. Options include a direct database connection where the vendor permits it, scheduled file exchange, parsing the reports the system already emails out, or an ODBC connection. It is less elegant than a modern API and it works. We establish which of these is available during discovery, before you commit to anything.
Will this break when one of the vendors updates their software?
Well built integrations survive routine updates, and major version changes sometimes need work. We build against documented interfaces rather than fragile assumptions, monitor for failures so a break surfaces as an alert rather than as missing data, and stay available to adjust when a vendor changes something material.
How do you stop two systems from overwriting each other?
By deciding ownership before writing any code. Each field has one system that is allowed to change it and others that read it, so updates flow one clear way. Where a genuine two-way sync is required, we add conflict rules and timestamps so the outcome is defined rather than whichever update happened to arrive last.
Is our data safe while it moves between systems?
