Wix Ecommerce Integration: Getting Orders, Stock and GST Out of Wix Cleanly

A lot of Australian businesses did not choose an ecommerce platform. They built a website on Wix, added a store when customers asked to buy online, and a year later the store is a real revenue line that someone is re-keying into MYOB or Xero every Monday.

Wix is a perfectly good place to sell from at that size. What it is not is a back office. This page covers how to connect a Wix store to accounting, inventory and a shop counter properly, which of the ready-made apps are worth using, the specific places Wix data tends to trip up Australian bookkeeping, and the honest signs that the next step is moving platforms rather than adding more integration.

Why Wix Stores Get Messy Behind the Scenes

None of these are faults in Wix. They come from using a website builder as the front of a growing trading business.

Payouts do not look like orders

Customers pay through Wix Payments, PayPal, a buy now pay later provider or a card gateway, and each one settles to your bank on its own timetable, net of its own fees, often batching several days of orders into one deposit. Your bookkeeper sees a single lump in the bank feed and a list of orders in Wix that do not add up to it. Without a clearing account approach and fee lines posted separately, reconciliation becomes detective work every week.

GST settings drift from the ledger

Wix lets you set tax rates and whether prices include tax, and most Australian stores show GST inclusive pricing. The trouble starts with GST free lines such as some basic food or certain health products, shipping that should carry GST, discounts applied across mixed carts, and gift cards that are not a taxable supply when sold. If the integration posts a single total with one tax code, your BAS figures are wrong in a way nobody notices until a review.

Stock is held in two places

The moment you also sell at markets, from a shop, to wholesale customers or on a marketplace, the stock count in Wix stops being the truth. Someone updates it by hand at the end of the day, or does not, and an online customer buys the last unit that was sold at the counter two hours earlier. Two counters with no rule about which one wins will always drift.

The site and the store are one product

Because the store sits inside your website, every decision about the store is tangled with the design, the blog, the booking pages and the SEO. That is convenient while it stays small and becomes a constraint when you need deeper inventory features, multiple warehouses or wholesale pricing. The integration plan has to be honest about which of those Wix can carry and which it cannot.

The Six Wix Integration Flows That Matter

Most Wix stores need two or three of these. Build them in order of the hours they save, not in the order a sales page lists them.

Invoice or sales summary

Orders to accounting

Each paid Wix order becomes either an individual invoice in MYOB or Xero or part of a daily sales summary, depending on volume and how much detail your accountant wants. Low volume stores often prefer one invoice per order so a customer query can be traced. Busier stores usually do better with a daily summary journal that splits sales, shipping, discounts, GST and fees, which keeps the ledger readable and the integration simpler.

Matched deposits

Payout reconciliation

Orders are posted against a clearing account per payment provider, fees are posted as expenses, and each settlement deposit clears the balance. When a deposit does not match the expected net amount, the difference is surfaced with the orders involved rather than left for the bookkeeper to find. This one flow often saves more time than the order sync itself.

One stock count

Stock from the inventory owner

If stock is managed in an inventory system, POS or ERP, that system becomes the owner and pushes available quantities to Wix. Wix orders then reduce stock in the owner system, not just in Wix. A small safety buffer on fast moving items absorbs the gap between a counter sale and the next update, which matters more than chasing perfect real time sync.

Catalogue kept in step

Product and price updates

Where the product list is maintained elsewhere, new items, price changes and discontinued lines flow into Wix rather than being typed twice. Descriptions and images usually stay owned by Wix because they are marketing content. Price and stock usually come from the back office. Splitting ownership by field rather than by product avoids most overwrite problems.

Clean lists

Customers to marketing

Buyers and their consent status move to your email platform or CRM, with the consent recorded at checkout carried across rather than assumed. Unsubscribes flow back. Under the Spam Act 2003 you need consent and a working unsubscribe, so this flow needs to respect what the customer actually ticked, not just copy every email address.

Status back to Wix

Fulfilment and tracking

Orders go to whoever ships them, whether that is your own packing bench, a third party warehouse or a shipping app, and the tracking number comes back to Wix so the customer gets the dispatch notification. Partial shipments and backorders need explicit handling or customers receive misleading emails.

Where Wix Integrations Go Wrong

Installing a connector without designing the postings

Most accounting apps will happily start pushing orders the minute you authorise them. If the default accounts, tax codes and contact handling are wrong, you get hundreds of incorrect transactions in a week and a clean-up bill larger than the setup would have been. Decide the chart of accounts mapping, tax codes, whether to create a contact per customer or use a generic web sales contact, and how refunds post, then switch it on.

Letting Wix and the POS both own stock

If staff adjust stock in Wix and also in the POS, every sync will overwrite someone. Pick one owner, remove edit rights in the other where you can, and route stocktake adjustments only through the owner. The sync rule becomes simple: the owner publishes, Wix reads, Wix orders flow back as sales.

Variants that do not line up

Wix product options and the variants in your inventory or POS rarely match by default. A shirt that is one product with size and colour options in Wix might be twelve SKUs in the back office. Every sellable variant needs a stable SKU in both systems before you sync. Matching on product name is the most common cause of stock landing on the wrong item.

Assuming every API feature is available on your plan

Wix exposes its store data to apps and integrations through official APIs and webhooks, but what is practical depends on the plan you are on, the features enabled on your site and the limits Wix applies to call volumes. Confirm what your specific site supports before committing to a design, and build the integration to pace its calls and recover from throttling rather than assuming unlimited access.

Personal information copied everywhere

Every app you connect to Wix gets some customer data, often more than it needs. Under the Privacy Act 1988 you are responsible for how that information is handled, including where it is stored. Give each integration only the scopes it needs, remove apps you no longer use, and keep a simple register of which systems hold customer data so a privacy request or a breach assessment does not start from zero.

Integrating a store that should be moving

Some businesses spend more each year on workarounds than a well planned move to a dedicated commerce platform would cost. If your plan includes several warehouses, a wholesale portal, marketplace selling and detailed margin reporting, say so up front. We will tell you whether it is worth integrating Wix for the next year or planning the move now, and design the integration so it survives the move where possible.

How Yes AI Helps Wix Businesses

Honest connector advice

If a ready-made accounting or shipping app from the Wix App Market fits your volume and setup, we will say so and help configure it properly. Custom integration is for the gaps those apps leave, not a default.

Postings your accountant signs off

We agree the sales, fee, refund, gift card and GST postings with your bookkeeper or accountant in writing before anything syncs, so BAS time is a review rather than a rebuild.

Built and run for you

Custom flows run on a managed cloud automation layer we operate, with logging and same day alerts if Wix, your ledger or your POS stops responding. Nothing runs on a laptop in the office.

Designed to survive a move

The back office side of the integration is built so that if you later move off Wix, the accounting and stock logic stays and only the store connection changes.

From Re-Keying to a Connected Wix Store

Five steps. Most core integrations are live within a few weeks of the mapping being agreed.

Audit the current flow

Where orders, payouts, stock and customers go today, who touches them and how long it takes. We look at the payment methods, tax settings and product structure in Wix as they really are.

Decide owners and postings

Which system owns stock, products, prices and customers. How each sale, fee, refund and gift card posts to the ledger, agreed with your accountant.

Connector or custom per flow

For each flow we check whether an existing app does the job. Where it does, we configure it. Where it does not, we specify a custom flow in plain English for your approval.

Clean, test and go live

SKUs aligned across systems, a test run on recent real orders including refunds and odd cases, then a watched go live with a short parallel period.

Monitor and review

Alerts on failures, a monthly check of reconciliation exceptions, and a yearly conversation about whether Wix is still the right store for where the business is going.

FAQ

Can Wix connect to Xero or MYOB?

Yes. There are ready-made apps that connect a Wix store to popular accounting systems, and Wix also offers official APIs and webhooks that a custom integration can use. Which route is right depends on your volume, how many payment methods you take, whether you have mixed GST treatment and whether you also need stock synced with another system. For a simple store with one payment method and a single ledger, a configured app is often enough.

Should each Wix order become an invoice in our accounting system?

Not necessarily. One invoice per order gives the best traceability and suits low volume stores or businesses where customers often ask for tax invoices. Above a few dozen orders a day, a daily sales summary posted as a journal is usually cleaner: it splits sales, shipping, discounts, GST and fees, keeps the ledger readable and reduces the number of things that can fail. Your accountant should make the call, and the integration can do either.

How do we keep Wix stock in sync with our shop POS?

Choose one system as the owner of stock, normally the POS because it sees counter sales, transfers and stocktakes. The POS publishes available quantities to Wix, and every Wix order is sent back to the POS so stock reduces there too. Add a small buffer on fast moving lines to cover the seconds or minutes between a counter sale and the next update. Confirm every variant has the same SKU in both systems before you start.

How should GST be handled on Wix orders?

Most Australian Wix stores display GST inclusive prices. The integration should map each product class to the correct tax code in your ledger, treat shipping consistently with how you charge it, apportion discounts across taxable and GST free lines, and treat gift card sales as a liability until redemption rather than a taxable sale. Agree the mapping with your accountant before go live, since this determines what lands on your BAS.

When should we move off Wix instead of integrating it?

Consider moving when you need stock across several locations with transfers, a proper wholesale or trade channel, selling on marketplaces with shared inventory, detailed margin reporting, or when the cost of apps and workarounds is approaching the cost of a planned move. Wix is a sound choice for a store that is part of a broader website. It is less suited to being the centre of a multi-channel retail operation. We will give you a straight answer either way.

Is our customer data safe when Wix is connected to other systems?

It can be, if each connection is set up deliberately. Give apps and integrations only the permissions they need, know where each connected system stores data, remove unused apps, and keep a register of which systems hold personal information. The Privacy Act 1988 and the Australian Privacy Principles apply to every copy of customer data you hold, not just the copy in Wix.

What does a Wix integration cost?

If a ready-made app fits, the cost is mostly its subscription plus a few hours of proper configuration. A custom integration for payout reconciliation, multi-system stock or complex tax mapping is a fixed build fee plus a flat monthly managed fee for hosting, monitoring and maintenance. We avoid per order pricing so a strong month does not raise your bill. You get a written quote after the audit.
