Order to Fulfillment Automation
An order is not done when the customer pays. It is done when the parcel is on the courier and the tracking number is in their inbox. Everything in between, the stock check, the warehouse or 3PL handoff, the label, the status update, is where orders stall and customers start emailing "where is my order".
We connect your sales channels, inventory, warehouse or 3PL and courier accounts into one automated flow. Clean orders route, allocate stock, generate a pick and a shipping label, and trigger customer comms without anyone retyping. Problem orders (out of stock, dodgy address) get held and surfaced, not silently dropped.
Realistic ROI
Why Automate Order to Fulfillment (Not Just Add Staff)
Four reasons Australian sellers move order processing off manual keying and onto a connected flow.
Multi-channel orders land in one place
Orders from Shopify, WooCommerce, a marketplace like eBay or Amazon, a wholesale portal, or a phoned-in order all arrive in different formats. The automation normalises them into one queue with one set of rules, so your team works one screen instead of five tabs.
Stock is allocated before a pick is promised
Every order checks live stock across your warehouse, retail locations or supplier feeds and allocates the right inventory before anyone picks. Out of stock lines are caught up front, not when the picker is standing at an empty shelf, so you stop overselling and stop disappointing customers.
Warehouse, 3PL and courier handoff is hands off
A clean, allocated order is pushed straight to your warehouse system or third party logistics provider as a fulfilment request, and the shipping label and tracking number come back automatically. No rekeying into a courier portal, no copy pasting addresses, no transposed postcode.
Every order has a status anyone can see
Received, allocated, picking, packed, shipped, delivered. The automation keeps the status current across your systems so support can answer "where is my order" in seconds, and the customer gets the tracking update automatically instead of phoning to ask.
How Order to Fulfillment Automation Works
Seven stages from order in to delivered, automated for clean orders, held and surfaced for the rest.
Capture and normalise
Orders pulled from every channel (Shopify, WooCommerce, marketplaces, wholesale portal, phone, email) and mapped to a single standard format. Customer, items, quantities, address and shipping method captured consistently.
Validate and route
Address checked and standardised, payment and fraud flags read, order type identified. Clean orders route to the right fulfilment location or 3PL. Problem orders are held with the exact reason attached.
Stock allocation
Live stock checked across warehouse, retail locations and supplier feeds. Inventory allocated to the order. Backorders and split shipments handled by rule, so nothing is promised that cannot be picked.
Warehouse or 3PL handoff
Allocated order pushed to your warehouse system or third party logistics provider as a pick and pack request, with the right items, quantities and packing notes. No manual rekeying into a separate portal.
Label and tracking
Shipping label created with the chosen carrier (Australia Post, courier, freight) and the tracking number captured against the order. Manifests and consignment notes generated where the carrier needs them.
Customer comms
Confirmation, dispatch and tracking emails or SMS sent automatically at each milestone, branded as you. The customer knows where their order is without contacting you, which cuts inbound "where is my order" volume.
Invoice and reconcile
Tax invoice raised with correct GST and pushed to your accounting system (Xero, MYOB, QuickBooks). Fulfilment status synced back to the sales channel so stock and order state stay consistent everywhere.
Order to Fulfillment Scenarios We Automate
| Task | Traditional | Automated | Notes |
|---|---|---|---|
| Standard in stock order, single warehouse | Staff member copies order into courier portal, prints label, updates store | Routed, allocated, labelled and customer notified end to end | The bread and butter case. Clean orders flow in minutes with no human touch, freeing the team for exceptions. |
| Out of stock or partial stock line | Discovered at the shelf, order stalls, customer chased manually | Caught at allocation, held or split by rule, customer told options | Backorder, substitute or split shipment handled by the rule you set, with a clear customer message rather than silence. |
| Bad or unverifiable delivery address | Parcel returned, refunded, customer annoyed | Flagged before dispatch, held for a quick correction | Address validation against Australian formats catches the typo or missing unit number before the label prints. |
| Multi-channel order from a marketplace | Logged into a separate marketplace dashboard, retyped | Normalised into the same queue and flow as web orders | eBay, Amazon and wholesale portal orders all follow one process instead of each having a separate manual workaround. |
| Handoff to a third party logistics provider | Order emailed or rekeyed into the 3PL system | Pushed to the 3PL automatically, status synced back | Works with most 3PL and warehouse systems that expose an order feed, so the parcel ships without your team touching it. |
| Split shipment across two locations | Manual decision, two orders created by hand | Split by stock availability, two consignments, one customer view | Customer gets one coherent set of updates even when their order ships from two places. |
| Tracking and delivery status visibility | Support logs into the courier site for each query | Status synced to one place, customer notified automatically | Cuts inbound "where is my order" enquiries and gives support an instant answer when one does come in. |
| Invoice and accounting sync | Invoices raised manually, stock adjusted later | Tax invoice posted with GST, stock and channel synced | Keeps your accounting system and sales channels consistent without a separate end of day data entry job. |
How We Keep Order Automation Safe and Honest
Inventory is the single source of truth
Stock levels live in your inventory or warehouse system, not a side spreadsheet. The automation reads and reserves against that source so two channels never sell the same last unit. We agree which system is authoritative at discovery.
Problem orders are held, never silently dropped
Out of stock, failed payment, address issue or a value over a threshold all hold the order with a clear reason and route it to a person. Nothing disappears. You decide which conditions auto proceed and which always need a human.
Carrier and 3PL rate limits respected
Courier and logistics APIs throttle requests. The automation batches and paces calls within documented limits so label generation and status syncs stay reliable even on your busiest day, and you can run alongside other integrations.
GST and tax invoices stay compliant
Invoices carry correct GST and the required tax invoice fields, and post to your accounting system the way your bookkeeper expects. We confirm the tax treatment for your products and any export orders during build.
Customer comms are branded and controlled
Confirmation, dispatch and tracking messages go out under your brand, with content you approve. You set which milestones trigger a message so customers are informed, not spammed.
Full audit trail on every order
Each order keeps a record of when it was received, how it routed, what stock was allocated, when it shipped and what the customer was told. Useful for disputes, chargebacks and continuous improvement.
