Calls, web forms and messages are answered at any hour with what is genuinely free right now. Not a vague "we have units available", but the 3 x 3 on the ground floor near the roller door, the price with your current promotion applied, whether a van can pull up to it, the access hours, and how long the quote holds. Availability is read from your management system, so it will not sell a unit that went this morning. Anything it cannot answer, or any caller who asks for a person, is handed on with the conversation summarised so nobody starts again from scratch.
Move-in booking, agreement and paperwork
The move-in is finished before the customer turns up. The unit is reserved and held, the storage agreement goes out for electronic signature, photo identification is captured, the goods protection or insurance position is confirmed and recorded, the direct debit authority is set up with your payment provider, and the access PIN is issued against the correct access hours. The details a phone conversation gets wrong, surname spelling, address, the exact unit number, are confirmed back in writing by SMS or email before anything is locked in. Your team receives a clean move-in record, not a half finished form left on the counter.
Failed payment and arrears follow up
A dishonoured direct debit is the first page of an arrears file, not an accounting nuisance. The automation notices the failure on the day it happens, contacts the customer while the amount is still one month, offers a card update or an agreed retry date, and logs every attempt with a timestamp. If it escalates, the reminders your storage agreement specifies go out on the days your agreement specifies, in the wording your solicitor has approved, and the file lands on a person's desk with the full contact history attached instead of a vague memory of having rung once.
Access, gate and after hours triage
Most after hours calls are the same handful of problems: a PIN that will not work at the keypad, a customer at the gate outside their access hours, an overlocked unit, a lost padlock, an alarm that has tripped. Occupancy and enquiry source reporting
Occupancy decides whether the site works, so the owner gets it weekly without asking for it: physical occupancy overall and by unit size, economic occupancy against it so you can see what discounting is really costing, the square metre rate you are actually achieving against your rate card, move-ins against move-outs, average length of stay, and where enquiries came from, phone, web form, walk-in, Google Business Profile or an aggregator.
