For Australian SMEs running Odoo across their business

Odoo Integration and Automation for Australian Business

Plenty of Australian SMEs run Odoo as the heart of the business, then quietly re-key the same data into their accounting package, their CRM, a spreadsheet, and a dozen emails a day. That double handling is slow, error-prone, and it hides the real state of the business. Yes AI builds the two-way integration and automates the workflows around Odoo so a record entered once shows up everywhere it should, without anyone typing it twice.

We connect Odoo to Xero, MYOB, QuickBooks, Shopify, HubSpot, Salesforce, Google Workspace, Microsoft 365, rostering and payroll tools, and the spreadsheets your team still lives in. Built for Australian GST, BAS, Fair Work and Privacy Act realities.

Why Automate Around Odoo With Yes AI

Odoo tries to be the whole business in one place, from Sales and CRM through Inventory, Manufacturing and Accounting, yet almost every Australian SME still runs something beside it: Xero or MYOB for the books, Shopify for the storefront, a rostering tool, a pile of spreadsheets. The value leaks at exactly those joins, where a contact, an order or an invoice has to be carried across by hand. Four things make Yes AI the right partner to seal those joins for good.

We start with deep discovery, not a template

Two Odoo installs on the same version can look nothing alike, with completely different apps switched on and fields tailored in Studio. So before we touch the external API, we sit with the people doing the work and map which Odoo models actually carry your truth: contacts, sales orders, invoices, stock, jobs, and which of them Odoo owns versus your accounting or ecommerce tool. That map is the brief, so what we build fits your Odoo rather than a generic ERP recipe.

Tuned to your process, not the other way around

You should not have to bend the business to suit Odoo, or to suit us. We automate the workflow you already run, including the quirks Odoo does not handle out of the box. If a quotation above a set value has to wait for a manager before it becomes a confirmed sales order, or a manufacturing order reaching a certain stage should raise the customer invoice, or stock dropping below a point should trigger a purchase order, we build that logic around your Odoo instead of leaving your team to remember it.

Secure and Australian, end to end

We are an Australian consultancy and we design every connection with the Privacy Act and the Australian Privacy Principles in mind wherever personal data moves, and customer and staff records certainly do. We connect through a dedicated Odoo user with its own API key and only the access rights the job needs, never your admin login, over encrypted connections, with a clear record of what moves where. Your data stays in your Odoo and stays yours.

We own the whole build

One team scopes it, designs it, builds it against your Odoo, tests it and supports it after go live. You are not passed between a strategist, an offshore developer who has never seen your chart of accounts, and a support queue with no idea how your Sales, Inventory and Accounting apps hang together. When Odoo ships its yearly version upgrade, or you switch on another app like Manufacturing or Subscriptions, the people who built the integration are the people who extend it.

What We Build Around Odoo

Six concrete capabilities, all reading and writing through Odoo's external API so they work off one connected set of records. Together they turn Odoo from a system your team feeds by hand into the single, trusted source of truth the rest of your stack runs on.

Bi-directional

Two-way sync of the records that matter

Your Odoo contacts in res.partner, products, sales orders, invoices, stock on hand and registered payments stay aligned with your accounting package, CRM and online store. Confirm an order or take a payment in Odoo and it flows out; do it in Xero or Shopify and it flows back in, so neither side is ever quietly stale.

Zero chasing

Automated documents and notifications

Quotations, sales order confirmations, customer invoices and delivery notes are generated in Odoo and sent at the right trigger point: a quote confirmed, an order marked done, an invoice validated. The customer receives the correct PDF, the account manager gets a heads up, and nobody has to remember to hit send at five on a Friday.

One keystroke

The end of double entry

A Shopify order, a Stripe payment, a web-form enquiry or a lead from your CRM lands in Odoo automatically, mapped to the right model with the many2one links to customer and product resolved for you. The hours your team burns re-typing between the storefront, the CRM and Odoo go back into real work.

One view

Live dashboards across your stack

Because everything is joined through Odoo, we can surface a single always-current view of sales, cash position, stock and open jobs, pulled from Odoo and everything wired to it, including the numbers that normally live in Xero or a spreadsheet. No more exporting three CSVs on a Monday to work out where the business really sits.

Early warning

Exception alerts before things break

The automation watches for the things that should never sit unnoticed in Odoo: an order that failed to post to your accounting package, an invoice past its due date, a product falling below its reordering rule, a manufacturing or delivery order stuck in the same stage too long. You get a plain alert while it is still cheap to fix.

Set and forget

Scheduled jobs that run themselves

Nightly reconciliations between Odoo and your books, weekly sales reports, BAS-period tax exports off Odoo's Australian localisation, end-of-month roll-ups and routine tidy-ups of duplicate contacts run on a schedule in the background. The dull, repeatable admin around Odoo happens on time, every time, without anyone driving it.

Six Integration Realities and How We Handle Them

API rate limits and throughput

Odoo's external API runs over XML-RPC and JSON-RPC, and while it is capable, hitting it with one call per record or pulling huge result sets in a single search_read will crawl, especially on Odoo Online where resources are shared. We page through data with sensible limits, batch writes, queue work and back off under load, so a busy sales day never chokes the API or drops records. The sync holds up at your real volumes, not just in a demo.

Field mapping and data hygiene

Odoo mapping is where integrations quietly go wrong: a many2one like partner_id or product_id has to resolve to the right record, tax has to land on the correct account.tax code so GST is right, and units of measure and product variants have to line up with your other system. We map every field explicitly, lean on Odoo external IDs so records match instead of duplicating, clean and de-duplicate contacts and products before cutover, and agree the rules for the awkward ones, so bad data does not simply flow faster.

One source of truth to avoid sync loops

Odoo and, say, Shopify or Xero can both edit the same customer, order or stock figure, and without discipline a change bounces back and forth in a loop. We decide up front who owns each record, perhaps Odoo for products and stock and your accounting tool for the posted invoice, and which side wins a conflict, then build write-back guards so an update never chases its own tail. Boring, predictable, correct.

Privacy Act and the Australian Privacy Principles

Odoo holds real personal information, customer contacts in res.partner and, if you run Payroll, employee and Single Touch Payroll data, so wherever that moves between systems we design to the Privacy Act and the APPs. Only the fields that need to move actually move, the integration user has least-privilege access rights and its own API key, connections are encrypted, and retention and deletion are handled on purpose. We keep a clear record of what flows where so you can answer for it.

Sandbox testing and parallel run before cutover

We never build straight into your live Odoo and hope. On Odoo.sh we work against a staging branch; on Odoo Online or a self-hosted setup we use a duplicated, neutralised copy of the database so test emails and payments cannot escape. Everything is proven there first, then run in parallel with your current process so you can compare Odoo against your other systems side by side before you rely on it. You only switch over once you have watched it work on your own data.

Change management and staff training

An Odoo integration only pays off if your team trusts it and works through Odoo rather than around it in a private spreadsheet. We involve the people who live in Sales, Inventory and Accounting from discovery onward, document the new flows in plain English, and train them on what changed, what now happens automatically, and what they no longer need to key twice. The goal is that the joined-up way is obviously easier than the old copy and paste.

How Yes AI Helps

Discovery and data mapping

We map how data really moves through your business today, find every point of double entry, and agree the source of truth for each record. You get a clear picture of the current mess and a plan to fix it before any build begins.

Integration and automation build

We build the two-way connections between Odoo and your other tools and automate the workflows around them: documents, notifications, scheduled jobs and exception alerts. One team, one accountable build, tuned to your actual process.

Secure, compliant delivery

Every connection is designed for security and, where personal data is involved, for the Privacy Act and the APPs. Least-privilege access, encrypted connections, and clear records of what moves where, all delivered by an Australian consultancy.

Monitoring and ongoing support

After go live we watch the integration, catch the exceptions, and stay on hand as your business changes. When you add a tool or change a process, the people who built it adapt it, so the automation keeps earning its keep.

Our Odoo Integration Rollout

A clear five-step path from a first conversation to a live, monitored Odoo integration. Most Australian SMEs are fully live inside two to six weeks, depending on how many Odoo apps and outside systems have to talk to each other and how many workflows are in scope.

Discovery and mapping

We sit with your team and map how data moves through Odoo today: which apps you actually run, which models carry your truth, where staff re-key into Xero, Shopify or a spreadsheet, and where records fall through. We agree who owns each record and define exactly what a successful integration looks like.

Design

We turn that map into a concrete design: which Odoo models sync and in which direction, which events fire which automations, which exception alerts and scheduled actions we build, and how we authenticate to the external API. You sign off a fixed scope and timeframe before a line of code is written.

Build in a sandbox

We build against an Odoo.sh staging branch or a neutralised copy of your database, never your live system. Field mappings, external IDs, tax codes, many2one links, API rate limits and conflict rules are all handled and proven safely, well away from your day-to-day operation.

Test and parallel run

We test against real-world data, then run the new automation alongside your current process so you can compare Odoo and your other systems side by side. You watch the integration reach the same invoices, stock figures and payments on your own data before anything is switched over.

Go live and monitor

We cut over, train your team on the new Odoo flows, and keep watching once it is live. Exception alerts catch anything unexpected, and we stay on hand to tune the mappings and extend the automation as you add apps, systems or volume.
