Question 1

How long does each phase of the roadmap take?

Accepted Answer

Discovery takes 1-3 weeks depending on organisation size. Assessment is 1-2 weeks. The pilot phase runs 2-6 weeks. Scaling takes 1-3 months. And optimisation is ongoing. For a typical SME (under 50 staff), the entire process from discovery to full deployment takes 8-12 weeks. Larger organisations (100+) typically take 4-6 months. The key is that you start seeing results during the pilot phase - usually within the first month.

Question 2

Can we skip phases if we already know what AI we need?

Accepted Answer

We strongly recommend against skipping discovery and assessment - even if you have a clear idea of what you want. In 80% of engagements, the discovery phase reveals higher-value AI opportunities that the client had not considered. That said, for organisations that have already completed internal assessments, we can compress the discovery phase to a validation exercise rather than a full audit.

Question 3

How do you select which AI solutions to pilot?

Accepted Answer

We score every opportunity against five criteria: business value (potential ROI), implementation complexity (time and technical effort), data readiness (do you have the data AI needs), team capability (can your team support it), and risk level (what happens if it fails). The pilot candidates are the use cases that score highest on value and lowest on complexity - giving you the fastest possible path to measurable results.

Question 4

What success metrics do you use to measure AI implementation?

Accepted Answer

We define metrics specific to each AI use case, but common KPIs include: time savings (hours recovered per week), cost reduction (dollars saved per month), error rate improvement (percentage reduction), customer satisfaction impact (NPS change), revenue impact (conversion rate improvement), and adoption rate (percentage of team actively using the tool). Every metric has a baseline measurement taken before deployment.

Question 5

How involved does our team need to be during implementation?

Accepted Answer

We handle the heavy lifting - your team needs to commit roughly 4-6 hours per week during the pilot phase for testing, feedback, and training. During discovery, we need 1-2 hours per key stakeholder for interviews. During scaling, team involvement increases as they take ownership of the AI tools. We provide a clear RACI matrix at the outset so everyone knows their role and time commitment.

Question 6

How do you coordinate with our existing technology vendors?

Accepted Answer

We work directly with your vendors to ensure seamless integration. Our team has experience integrating with hundreds of Australian business platforms including Xero, MYOB, Salesforce, HubSpot, Cliniko, ServiceNow, Shopify, and many more. We provide clear technical specifications for any custom integrations and can manage the vendor coordination on your behalf.

Question 7

What happens if the pilot phase fails to show results?

Accepted Answer

In our experience, pilot failures are rare when the assessment phase is done properly - because we only pilot use cases with high confidence of success. If a pilot underperforms, we analyse why (data quality, process issues, user adoption), make adjustments, and re-run for another 2 weeks. If a specific use case genuinely does not work for your business, we replace it with the next-highest-priority opportunity from the assessment matrix.

Question 8

How do you handle risk mitigation across the roadmap?

Accepted Answer

Risk management is embedded in every phase. Discovery identifies risks. Assessment quantifies them. The pilot tests them in a controlled environment. Scaling follows proven playbooks. We maintain a live risk register throughout the engagement, with mitigation strategies for every identified risk. Critical risks are escalated immediately. We also build rollback plans for every deployment - if something goes wrong, we can reverse changes within hours.

Question 9

Do you provide support after the implementation is complete?

Accepted Answer

Yes. We offer three tiers of post-implementation support: Basic (email support, quarterly reviews, $997/month), Professional (priority support, monthly optimisation, new capability evaluation, $2,497/month), and Enterprise (dedicated account manager, weekly check-ins, unlimited support, custom pricing). Most clients start with Professional and downgrade to Basic after 6-12 months once their team is fully self-sufficient.

Question 10

Can the roadmap adapt if our business priorities change?

Accepted Answer

Absolutely - adaptability is built into the methodology. The quarterly optimisation reviews specifically examine whether business priorities have shifted and adjust the roadmap accordingly. If a major change happens mid-phase (acquisition, market shift, new regulation), we conduct a rapid reassessment and update the roadmap within 1-2 weeks. The phased approach means you are never locked into a rigid plan that no longer fits.
