For Australian plant, access, earthmoving and tool hire businesses

AI and Automation for Equipment and Plant Hire Companies

A hire business lives or dies on two things: whether the phone gets a real answer, and whether the fleet is out earning. Both leak quietly. An enquiry lands at 6:40 in the morning for a 3.5 tonne excavator on Thursday, and by the time someone comes off the yard to check the board the customer has rung the next mob. A machine comes back on a Friday afternoon and is not checked in until Monday, so either three days of billing vanish or three days get billed that should not have been. Yes AI builds the automation that answers those enquiries around the clock, confirms off-hires the moment they are called in, and keeps the run sheet, the paperwork and the service intervals moving without anyone chasing them.

We work with access, earthmoving, generator, scaffolding, event and general tool hire businesses across Australia. The automation sits on top of the hire management system you already run and joins it to your accounting package, whether that is Xero or MYOB, to your email and calendar in Microsoft 365 or Google Workspace, and to the phone. Australian GST, minimum hire periods, rate breaks, damage waiver and delivery zones are handled the way your rate card actually works.

A confirmed reference number timestamped at the moment the customer calls it in, instead of a note that surfaces on Monday
Per-asset view
Utilisation you can act on
Days on hire against days available, and revenue against what the unit cost you, per asset rather than a fleet average

Most hire businesses go live inside a fixed, agreed timeframe once we have mapped the hire desk, the yard and transport

Why Hire Companies Automate With Yes AI

Hire is a simple model run in a complicated way. The same unit has to be quoted, reserved, papered, delivered, serviced, collected, cleaned, charged and re-hired, and every one of those handovers is a phone call or a docket that can go missing. Most hire software handles the record keeping well and the surrounding conversation not at all, which is why the counter is still the busiest place in the business. Four things make Yes AI the right people to close that gap.

We start at the counter and in the yard, not with a template

No two hire businesses run the same way. A scaffolding company thinks in erect and dismantle labour, an access hire company thinks in machine classes and site access, an event hire company thinks in the one Saturday everything has to be on the ground by. Before we design anything we sit with the counter staff, the yard supervisor and whoever plans transport, and map how an enquiry actually becomes a booking, a delivery, a hire, an off-hire and an invoice. That map is the brief, so what we build matches your minimum hire periods, your rate breaks and your delivery zones rather than a generic rental recipe.

Built around the hire system you already run

You are not being sold a replacement for your hire management system, and you should not have to retrain the whole counter to fix a phone problem. We build on top of what you have, reading availability and rates out of it and writing bookings, off-hires and condition records back into it, then joining it to your accounting package so a confirmed off-hire becomes an invoice without anyone re-keying. If part of the fleet still lives on a whiteboard or a spreadsheet we say so plainly and deal with that first, because an automated availability answer built on a board nobody updates is worse than no answer at all.

Built for the arguments hire businesses actually have

Most of the money lost in hire is lost in a disagreement six weeks later: who called the off-hire and when, what state the unit came back in, whether the fuel was down, whether the cleaning charge is fair. We build so every one of those moments leaves a timestamped record with photos attached to the hire, and the conversation becomes about the evidence instead of whose memory is better. Where customer, driver and operator details are involved we design to the Privacy Act and the Australian Privacy Principles, and only the information that genuinely needs to move actually moves.

One Australian team scopes it, builds it and supports it

The same people who stood in your yard write the design, build the integration, test it on your data and pick up the phone after go live. You are not handed from a strategist to an offshore developer who has never seen a wet hire rate to a support queue that does not know what an off-hire number is. When you buy ten more units, open a second depot or change how you charge damage waiver, the people who built it extend it. Yes AI is an Australian consultancy and everything is scoped, built and supported here.

What We Build for a Hire Business

Six concrete capabilities, all reading from and writing back to the hire system you already run, so the counter, the yard and the office are working off one set of records. Together they take the admin that surrounds every hire off your people and put it on rails.

Always answered

24/7 availability and quote enquiries

Calls, web forms and emails get a real answer at 6am, at 9pm and on a Sunday: what is genuinely available for the dates asked, priced off your rate card with the minimum hire period, delivery zone, damage waiver and GST applied, and a quote reference the customer can accept. Anything outside the rules, a machine you would not send to that site or a rate someone wants bent, routes straight to a person with the full context attached rather than being guessed at.

Runs planned

Booking, delivery and pickup scheduling

Confirmed bookings become scheduled movements: which unit, which truck or float, which window, and what has to be done before it leaves the gate. Drops and collections are grouped by area so a driver is not crossing the region twice in a day, a delivery with no signed agreement or no site access details against it is held rather than sent, and the customer is told when the truck is coming instead of ringing the yard to find out.

Billing protected

Off-hire confirmation and collection

An off-hire called in at ten to five on a Friday is confirmed on the spot, with a reference number, a timestamp and the agreed off-hire date sent back in writing to whoever called it. The collection goes onto the run sheet, the hire desk sees it first thing, and if the unit is still on site a week later that exception is visible instead of buried. Nothing about it depends on someone remembering a note left on the counter at knock-off time.

Signed before it leaves

Hire agreements, inductions and site paperwork

The agreement and terms, operator competency and licence details, plant risk documents and site induction forms are issued the moment a booking is confirmed and chased until they come back signed. Your driver is not standing in a site office at 7am while someone hunts for a form, and you are not finding out afterwards that the gear went out on a handshake. Everything signed is filed against the hire, not left in somebody's inbox.

Evidence on file

Condition, damage and fuel capture

Out-condition and in-condition reports are captured with photos, hour meter reading and fuel level, timestamped and attached to the hire record automatically, from the yard and from the roadside. When a charge is queried six weeks later you and the customer are looking at the same two sets of photos. The automation prepares the charge and puts it in front of you; a person still decides whether you make it.

Nothing overdue

Service and inspection scheduling by hours or date

Services triggered by engine hours and inspections triggered by date are tracked per asset, with the reminder raised early enough to pull the unit at a sensible point in the hire cycle rather than mid job. Units approaching a due point are flagged before the hire desk promises them out for three weeks, and completed records sit against the asset so the log book stops being a shoebox in the workshop.

Six Hire Realities and How We Handle Them

An availability answer is only as good as the data behind it

Automation will confidently promise a machine that is reserved verbally by a rep, sitting on a truck in transit, or in the workshop waiting on a part, if none of that is in the system. So we do two things. We only answer from records the system genuinely holds, and anything uncertain becomes an offer to have a person confirm within the hour rather than a promise. Then we fix the data discipline that caused it, because if the board and the system disagree today, the automation just makes the wrong answer arrive faster and to more people.

Never let automation quote outside your rate card

Hire pricing is full of edges: four hour against daily against weekly rate breaks, minimum hire periods, wet against dry hire, weekend and public holiday treatment, damage waiver, delivery and pickup by zone, and GST on all of it. We encode the rules you actually trade on and hard limit the automation to them. Discounts, mates rates, account terms, unusual site conditions and anything outside the card go to a person every time. An automated quote that undercuts your own rate card can cost you more than the missed call it was meant to catch.

An off-hire confirmation is not a collection

Confirming an off-hire instantly protects the billing conversation. It does not put the unit on a truck. The gear is still on that site, still exposed to damage and theft, and still unavailable to hire to anyone else until a driver gets there. We are explicit about that split. The automation nails the date, the reference and the record, puts the collection on the run sheet and escalates it as it ages, but your transport capacity is what actually clears it. Anyone promising that software gets your fleet back faster than your trucks can is promising something nobody can deliver.

Damage, fuel and cleaning charges stay a human decision

The automation gathers the evidence: out photos, in photos, hour meter, fuel level, times, who signed for it. It can prepare the charge and put it in front of you with everything attached. It should not be the thing that decides to bill a fifteen year customer for a scratched handrail, because that call is commercial rather than clerical. We also handle this material carefully: customer, driver and operator details and site photos are personal information, so capture, storage and retention are designed to the Privacy Act and the Australian Privacy Principles and we keep only what you need.

Scheduling a service does not make you compliant

We can track engine hours and inspection dates per asset, raise reminders early, keep completed records against the unit and stop a machine being promised out when it is due. We cannot inspect an elevating work platform, sign a plant risk assessment or make a machine safe. What your fleet must have done, how often and by whom comes from the manufacturer's manual, the standards your industry works to and your own safety system, and it is carried out and certified by qualified people. Treat the automation as the thing that makes sure nobody forgets, never as evidence of compliance in itself.

The yard, the truck and the wash bay stay physical

None of this loads a float, changes a hydraulic hose, pressure washes a bucket or walks a customer through starting a generator on site at first light. Automation removes the admin wrapped around the physical work, the phone tag, the re-keying, the chasing and the forgetting, and it makes the physical work visible and better scheduled. If your real constraint is two trucks and one mechanic, better systems will show you that faster and will not fix it. We will say so during discovery rather than after you have paid for a build.

How Yes AI Helps

Discovery across the hire desk, the yard and transport

We follow a hire end to end, from the enquiry through quoting, agreement, delivery, service, off-hire, collection, cleaning and invoice, and mark every point where someone re-keys, chases or remembers. You get an honest picture of where days and dollars are leaking, and a prioritised plan, before anyone writes a line of code.

Integration and automation build

We build the connections between your hire management system, your accounting package and your phone and email, then automate the workflows around them: enquiry answering, scheduling, off-hire confirmation, paperwork, condition capture, service reminders, overdue chasing and utilisation reporting. One team, one accountable build, matched to how your business actually trades.

Secure, compliant, Australian delivery

Least-privilege access to your systems, encrypted connections, and only the data that has to move. Where customer, driver and operator information is involved we design to the Privacy Act and the Australian Privacy Principles, with deliberate handling of retention and deletion and a clear record of what flows where. Scoped, built and supported in Australia.

Monitoring and ongoing support

After go live we watch the automation, catch the exceptions and stay on hand as the business changes. New depot, new fleet classes, a change to your damage waiver or a new accounting package, and the people who built it adapt it. You are not left with something that worked brilliantly for one season and then quietly drifted.

Our Hire Automation Rollout

A clear five-step path from a first conversation to a live, monitored set of automations. Most Australian hire businesses are fully live inside two to six weeks, depending on how many workflows are in scope and how clean the fleet data is when we start.

Discovery in the business

We spend time at the counter, in the yard and with whoever plans transport, and we follow real hires end to end. We map your rate card rules, minimum hire periods, delivery zones, off-hire process, condition reporting, service intervals and where the fleet data is actually trustworthy. We agree what a good outcome looks like in your numbers, not in ours.

Design and fixed scope

We turn that map into a concrete design: which enquiries the automation answers and which always go to a person, what triggers a delivery, an off-hire confirmation, a service reminder or an overdue chase, what evidence gets captured and where it is stored, and which reports the owner sees each week. You sign off a fixed scope, timeframe and price before any build starts.

Build against a safe copy

We build against a test copy of your data, never straight into the live system while you are trading. Rate rules, availability logic, off-hire references, document templates and the connection to your accounting package are all proven there, with test messages and test invoices unable to reach a real customer. Nothing touches production until it has been shown to work.

Test and run in parallel

We run the automation alongside how you work today so you can compare them side by side on your own hires. The counter sees what the automation would have quoted, the yard sees the run it would have planned, and you decide when it is right. Rate edges, awkward customers and the unusual jobs get worked through here, not after cutover.

Go live and keep watching

We cut over, train the counter, the yard and the drivers on what changed and what no longer needs doing by hand, and keep monitoring once it is live. Exceptions are surfaced weekly, we tune the rules as your rate card and fleet change, and we extend the automation as you add depots, classes or volume.

FAQ

Do we have to change our hire management system?

No. We assume you keep it. The automation reads availability, rates and asset records out of the system you already run and writes bookings, off-hires, condition reports and service records back into it, so the counter keeps working the way it does today. Where a system has no way in at all, we are honest about that in discovery and show you the options, which usually means automating the layer around it rather than replacing it. Replacing hire software is a big, expensive project and it is rarely the fix for a phone problem or an off-hire problem.

What can actually be automated in a hire business?

The repeatable work that surrounds every hire. Answering availability and quote enquiries around the clock on your rate card. Turning confirmed bookings into scheduled deliveries and collections grouped sensibly by area. Confirming off-hires instantly with a reference number and getting the collection onto the run sheet. Issuing and chasing agreements, induction and licence paperwork. Capturing out and in condition with photos, hours and fuel. Tracking service and inspection due points by engine hours or date. Chasing hires that have run past their end date and invoices that have run past their terms. Reporting utilisation and revenue per asset. If a person is copying between screens, chasing a docket or relying on memory, it is a candidate.

Can an automated answer on availability really be trusted?

Only if the data behind it is trustworthy, and that is the first thing we check. If reservations are held verbally, if units in transit or in the workshop are not flagged, or if half the fleet lives on a whiteboard, then an automated answer will confidently promise gear you cannot supply. So we build it to answer only from records the system actually holds, to say it will have someone confirm within the hour when anything is uncertain, and to never quote outside your rate card. Where the data is not good enough yet, we tell you and we fix that before switching the answering on.

What happens to off-hire calls that come in after hours?

They get answered and confirmed rather than going to voicemail. The caller gets the off-hire logged against the right hire with a reference number, the agreed off-hire date and a written confirmation back to them, and the collection goes onto the next run sheet. Your team sees it first thing in the morning with nothing to re-key. This matters because the argument that costs you is almost never about whether an off-hire happened, it is about which day it happened on, and a timestamped confirmation issued at the moment of the call settles that before it becomes a dispute.

How does this handle service and inspection intervals?

We track due points per asset on whichever basis your fleet uses, engine hours for plant that runs a meter and calendar dates for everything else, and we raise the reminder early enough that you can pull the unit between hires rather than mid job. Machines approaching a due point are flagged to the hire desk before they get promised out for three weeks, and completed records are stored against the asset so the history is in one place. To be clear about the limit: the automation makes sure nothing is forgotten and nothing is lost. The inspections and services themselves are carried out and signed off by your qualified people, to the manufacturer's requirements, the standards your industry works to and your own safety system.

How long does it take?

Most hire businesses go live in two to six weeks. Turning on around-the-clock enquiry answering plus off-hire confirmation is at the fast end, and it is usually where we suggest starting, because those two are the ones your customers feel first. Adding delivery run scheduling, condition capture with photos, paperwork chasing, service tracking and per-asset utilisation reporting sits at the longer end. We agree a fixed scope, timeframe and price after discovery, so you are never signing up to something open ended.

What does it cost?

We scope honestly instead of quoting a figure sight unseen, because a single depot with one hire system is a different job from four branches with a mixed fleet and a spreadsheet. Strategy and scoping engagements start at $1,000 AUD for a focused BASIC piece, $3,000 for a STANDARD engagement and $10,000 for a STRATEGIC one across a broader estate. After discovery you get a fixed scope, timeframe and price before any build begins. The honest test we apply is simple: if the recovered off-hire days, the enquiries you currently miss and the admin hours removed do not comfortably cover it, we will tell you.

Is our data safe, and what about the Privacy Act?

Security and privacy are designed in from the start. We connect with least-privilege credentials scoped to the job rather than an administrator login, over encrypted connections, and we move only the data that genuinely needs to move. Hire generates real personal information, customer and account contacts, driver and operator names and licence details, and site photos that can show people and premises, so wherever that flows we design to the Privacy Act and the Australian Privacy Principles, with deliberate decisions about access, retention and deletion and a clear record of what moves where. We are an Australian consultancy and your data stays yours.

Stop Losing Days to the Phone and the Off-Hire Book

Book a call and we will map where your hire business is leaking billable days, missed enquiries and admin hours, then show you exactly what we would automate first and what it would return. No obligation, no jargon, and an honest answer if the fix is trucks rather than software.
