Lowest risk

Overflow: the team rings first, the AI catches the rest

Nothing about how your team answers changes. The call hits its normal ring group or queue, rings for the number of seconds you already use, and if nobody picks up it diverts to the AI instead of dropping into voicemail. Inside 3CX this is a change to the no-answer destination on the ring group or queue. It is the pattern we recommend for first-timers because your regulars still get the person they know, and the only calls the AI touches are the ones you were losing anyway.

Nights and weekends

After hours: your 3CX office hours do the deciding

3CX already knows your business hours and your public holidays, and it already routes out-of-hours calls somewhere. We change that somewhere from a voicemail box to the AI. A caller at 7pm on a Tuesday, or on Boxing Day, gets a conversation instead of a beep: the AI answers, works out whether it is urgent, books a callback into the diary, or takes the details and emails them so the first person in tomorrow already has the job. Keep one after-hours override so a genuine emergency can still be escalated to a mobile.

A blind transfer hands the caller straight to the extension and the AI drops out. It is fast and simple, and if that extension is busy or on do not disturb the caller can land in a voicemail box they were not expecting. An attended transfer keeps the AI on the line, checks the extension answers, and passes a short spoken summary of who is calling and why before letting go. Attended costs a few extra seconds and one more concurrent call slot. For anything with revenue attached, it is worth it, because the AI can come back and offer a callback rather than dumping the caller.

Six Things That Genuinely Go Wrong, and How We Handle Them

Your SIP provider and your 3CX administrator have to cooperate

This is the honest blocker, and it is worth knowing before you get excited. The AI needs a way to receive calls, which usually means either an additional SIP trunk registered into 3CX or a DID your carrier points elsewhere. Some Australian providers will happily add a trunk in a day. Some charge for it. Some will not register the same number to two endpoints at once, which rules out certain designs. If your 3CX is hosted and managed by an IT partner, you may not hold the admin credentials yourself, and that partner has to agree to the change. We do this conversation for you, in writing, before any build starts, so nobody discovers on go-live day that the trunk cannot be provisioned.

Concurrent calls, licences and the trunk maths

Your 3CX plan sets a ceiling on simultaneous calls, and so does your SIP trunk. Every AI-handled call consumes a slot, and an attended transfer briefly consumes two while the AI holds the caller and dials the extension. If you sit close to your ceiling at 10am on a Monday, adding an AI front door without checking will cause busy signals, which is worse than the problem you started with. We measure your real peak concurrency from your call logs first, size the design against it, and tell you plainly if the honest answer is that you need another few channels before this makes sense.

The audio path decides how good the AI sounds and how well it hears

Speech recognition falls apart on a bad line, and callers blame the AI, not the network. Heavily compressed codecs, double transcoding as audio crosses from the carrier through 3CX and out again, an over-eager SIP ALG on the firewall, packet loss on a congested link, or a mobile caller in a lift will all degrade it. We test the actual audio path before go-live, prefer an uncompressed codec end to end where your provider supports it, keep the number of hops down, and set expectations honestly: it will handle a clear mobile call in a car park, it will struggle on a two-bar line in a shed, and so would a person.

Transfers fail in real life, so the fallback matters more than the happy path

The extension is on do not disturb. The person is already on a call. The ring group has nobody logged in. Somebody set a forward to a mobile that is now switched off. Any of these turns a confident transfer into a confused caller. We map every destination with a second and third choice, use attended transfer wherever a caller matters, and give the AI something sensible to say when it comes back: offer another person, offer a callback slot, or take a message and send it to a named human. We also guard against the loop where a transfer bounces back into the AI and the caller goes round twice.

Voicemail, recording and consent are not automatic

If the AI answers, the call never reaches the 3CX voicemail box it used to, so decide deliberately whether the AI takes a message itself, offers to put the caller through to voicemail, or does both depending on the time. Recording is the same: if the AI leg sits outside 3CX, your existing 3CX recording rules will not necessarily capture it, and you may end up with two half-recorded records of one conversation. We agree where the recording of record lives, who can access it, and how long it is kept. Recording and monitoring rules differ between Australian states, so we build to the greeting and consent approach your own legal advice supports, and we do not tell you what the law requires of you.

What we will not let the AI do

This is where trust is won. The AI does not give clinical, legal or financial advice. It does not quote a price it cannot stand behind. It does not take card numbers over the phone. It does not sit anywhere in the path of an outbound emergency call, because dialling 000 must always go straight out through your trunk untouched. It does not pretend to be a person: if a caller asks, it says what it is and offers a human. Anything angry, distressed, unusual or high value gets handed to a person quickly rather than argued with, and we agree those handover triggers with you in writing before it takes a single live call.
