The Rostering Problem

Manual Rostering Is Costing You More Than You Realise

Sunday Night Roster Headaches

Managers spend their weekends wrestling with spreadsheets, trying to balance availability, skills, and Award requirements. A task that should take minutes consumes hours - every single week.

Last-Minute Call-Ins

An employee calls in sick at 6 AM and the frantic scramble begins. Texting, calling, begging - all while the shift gap widens. Manual replacement finding can eat up a chunk of a manager's morning.

Overtime Blowouts

Without real-time visibility into hours worked, overtime creeps in silently. By the time payroll runs, the damage is done - budgets blown and margins eroded by unplanned penalty rates.

Unfair Shift Distribution Complaints

Staff perceive favouritism when rosters are built manually. Weekend shifts, public holidays, and undesirable hours cluster on the same people, driving grievances and turnover.

Award Compliance Complexity

Australia has 122 modern Awards with intricate rules around minimum hours, break requirements, penalty rates, and maximum consecutive days. One mistake means Fair Work complaints and back-pay liabilities.

Demand-Staffing Mismatch

Too many staff during quiet periods waste money. Too few during peaks lose revenue and burn out your team. Without demand forecasting, you are always either overstaffed or understaffed.

How It Works

From Spreadsheet Chaos to AI-Optimised Rosters in Four Steps

01
Day 1-2

Connect Your Data

We integrate with your existing POS, booking system, or historical sales data to understand your demand patterns. Employee availability, skills, certifications, and preferences are captured once and kept current automatically.

02
Day 3-5

AI Learns Your Patterns

The AI analyses 12+ months of historical data to identify demand cycles - daily, weekly, seasonal, and event-driven. It maps staff capabilities against role requirements and builds an optimisation model unique to your business.

03
Week 2

Automated Roster Generation

Each roster period, the AI generates an optimised schedule in seconds - balancing demand coverage, Award compliance, employee preferences, overtime limits, and cost targets. Managers review and publish with one click.

04

Continuous Optimisation

Real-time adjustments handle call-ins, demand spikes, and shift swaps automatically. The AI gets smarter every week, learning from outcomes to improve future rosters. Monthly reports track savings and compliance metrics.

Platform Features

Everything You Need for Smarter Rostering

One-Click Roster Generation

Create a draft roster using agreed availability, skills and demand assumptions. A manager must check coverage, exceptions and applicable employment conditions before publication.

Award Auto-Compliance

Built-in rules for all 122 Australian modern Awards. Minimum engagement hours, break requirements, penalty rate thresholds, and maximum consecutive days are enforced automatically, designed to support compliance with your team reviewing and signing off.

Employee Preference Engine

Staff submit availability and preferences via a mobile app. The AI weighs preferences against business needs, ensuring fair distribution while maintaining coverage targets.

Demand Forecasting

Machine learning analyses historical sales, bookings, foot traffic, and external factors (weather, events, school holidays) to predict staffing needs with strong accuracy.

Smart Shift Swap Management

When staff need to swap shifts, the AI validates the swap against skills, hours limits, and Award rules instantly. No manager intervention needed for compliant swaps.

Real-Time Gap Alerts

Instant notifications when a gap appears - call-in, no-show, or unexpected demand spike. The AI simultaneously identifies available replacement staff ranked by suitability, cost, and fairness.

Labour Cost Forecasting

See the projected cost of every roster before publishing. Compare scenarios - more casuals vs overtime, split shifts vs longer shifts - with accurate penalty rate calculations.

Fatigue & Wellbeing Rules

Configurable rules prevent unsafe scheduling patterns: maximum hours per week, minimum rest between shifts, consecutive night shift limits, and cumulative fatigue scoring.
